How to Record Emergency Veterinary and Pet Insurance Information

Collar stores a pet’s vet practice and insurance policy details on the pet profile.

Prerequisites

  • Any signed-in staff account. Pets is available to all roles.

How to record vet details

  1. Open the pet — Go to Pets, search for the pet, and open its profile.
  2. Open the tab — Select Vet & Insurance. It is its own tab, not inside Health.
  3. Edit the vet — Click the ⋮ button next to the Vet heading. The Pet Vet window opens.
  4. Fill in the details — Enter Practice, Country, City, Address Line 1, Address Line 2, Phone (country code plus number), and Email.
  5. Save — Click Update.

How to record insurance details

  1. On the same Vet & Insurance tab, click the ⋮ button next to the Insurance heading. The Pet Insurance window opens.
  2. Enter Insurer, Policy Number, Start Date, and End Date.
  3. Enter the insurer’s Country, City, Address Line 1, Address Line 2, Phone, and Email.
  4. Click Update.

How to record an emergency contact

  1. Open the client’s profile, not the pet’s.
  2. Choose Edit User Details.
  3. Fill in Emergency Contact Name, Emergency Contact Address, and Emergency Number.
  4. Save.

Important Information

  • There is no “Primary Veterinarian” name field. Only the Practice name is stored.
  • There is no “Coverage Notes” field on the insurance record. Only insurer, policy number, dates, and contact details are captured.
  • The emergency contact is on the client record, not the pet’s vet record.
  • Vet and insurance details do not appear on booking cards or booking summaries. Staff have to open the pet’s Vet & Insurance tab to find them.
  • There is no consent or authorization disclosure feature. Collar does not capture or display emergency vet authorization alongside these records.
  • The save button is labelled Update, and each section saves separately.
